Terms & Conditions
These Terms & Conditions (“Terms”) apply to chauffeurservicedallastx.com (the “Site”) and transportation services offered by Dallas Chauffeur Service (“Company,” “we,” “us,” or “our”).
Our services include executive transportation, corporate travel, airport transfers, hourly chauffeur service, private aviation and FBO transportation, event transportation, personal chauffeur bookings, and other prearranged car services across Dallas, Fort Worth, and the DFW Metroplex.
By requesting a quote, confirming a reservation, or using our transportation services, you agree to the Terms that apply to your booking. A person booking transportation for other passengers is responsible for providing correct trip information and making the applicable reservation terms available to the passengers in the booking.
1. Services and Scope
Dallas Chauffeur Service provides prearranged chauffeured transportation. Vehicles may include executive sedans, luxury sedans, SUVs, Mercedes-Benz vehicles, Sprinter vans, and other vehicles shown or confirmed during booking.
Vehicles are provided with a chauffeur. We do not provide self-drive vehicle rentals.
Service availability depends on the requested vehicle, pickup location, trip date, schedule, passenger count, and reservation requirements.
2. Reservations and Booking Confirmation
Submitting a quote request does not create a confirmed reservation.
A reservation becomes confirmed after Dallas Chauffeur Service accepts the booking and sends confirmation through email, text, the booking system, or another agreed communication method.
Customers must provide correct information, including:
- Passenger name
- Passenger contact number
- Pickup address
- Destination
- Service date
- Pickup time
- Passenger count
- Luggage requirements
- Vehicle request
- Flight information for commercial airport pickups
- FBO or aircraft information for private aviation pickups
- Planned stops
- Special pickup instructions
Incorrect or incomplete information may cause delays, additional charges, or an inability to complete the trip as requested.
3. Rates and Additional Charges
Quotes are based on the information supplied when pricing is prepared.
Rates may depend on the vehicle, route, mileage, service duration, pickup time, date, passenger count, number of stops, airport or FBO, and reservation type.
Charges applicable to a trip may include:
- Base transportation charge
- Additional service time
- Waiting time
- Extra stops
- Tolls
- Parking
- Airport or facility charges
- Approved route changes
- Cleaning charges
- Vehicle damage charges
- Other charges stated in the confirmed booking
A material change to the original itinerary may change the price.
The rate and booking terms stated in the confirmed reservation control unless the customer later requests changes that affect the trip.
4. Payment and Card Authorization
Payment requirements are stated during booking. A reservation may require a deposit, partial payment, full prepayment, card authorization, or another agreed payment arrangement.
By providing a payment method, the customer authorizes payment of amounts due under the confirmed reservation terms.
Where permitted by the booking terms and payment authorization, charges may include approved additional service time, waiting time, parking, tolls, cleaning, vehicle damage, or other charges incurred during the reservation.
A reservation may remain unconfirmed or may be cancelled if a required payment cannot be processed.
Customers should report suspected billing errors promptly after receiving an invoice or receipt.
5. Corporate Accounts and Authorized Bookers
A company may authorize an executive assistant, travel coordinator, office manager, employee, or another representative to arrange transportation for passengers.
An authorized booking contact may receive reservation, scheduling, billing, or trip information needed to manage the corporate account.
Corporate accounts may operate under separate payment, invoicing, cancellation, reporting, or reservation terms agreed in writing.
The passenger and booking contact are responsible for providing correct itinerary information.
6. Cancellations and Reservation Changes
Cancellation terms can differ by vehicle, reservation type, service date, trip duration, and other booking requirements.
The cancellation terms supplied with the confirmed reservation form part of the booking agreement.
A late cancellation may result in loss of a deposit or a partial or full reservation charge.
Changes to pickup time, destination, vehicle, passenger count, stops, service duration, flight details, or other reservation information are subject to availability.
A requested change may also change the rate.
Cancellation, flight-delay, rebooking, and related rules are addressed in our Cancellation & Flight-Delay Policy.
7. No-Shows and Waiting Time
Passengers must be available at the agreed pickup location at the scheduled time.
Waiting-time allowances can differ between airport transfers, FBO pickups, point-to-point transportation, and hourly reservations.
The waiting period applicable to a trip will be stated in the reservation terms where one applies.
Waiting beyond the included period may result in additional charges.
A reservation may be treated as a no-show if the chauffeur cannot locate or contact the passenger after the applicable waiting period and reasonable contact attempts.
A no-show may result in the full reservation charge.
If you cannot locate your chauffeur, contact Dallas Chauffeur Service before leaving the pickup location or arranging other transportation.
8. Airport Transportation
Airport transportation may be booked for DFW International Airport, Dallas Love Field, and other airports accepted during reservation.
Customers must provide the correct airline, flight number, arrival or departure date, passenger contact number, and destination.
We may check publicly available flight information when coordinating an airport pickup.
Passengers remain responsible for telling us about known flight cancellations, rebookings, terminal changes, airport changes, or itinerary changes.
Airport access rules may limit where and how long a chauffeur can wait at a terminal.
Parking, waiting time, airport charges, or other facility costs may apply according to the reservation terms.
9. Private Aviation and FBO Transportation
Private aviation pickups require different information from commercial airport transfers.
Customers should provide:
- FBO name
- Airport
- Aircraft or arrival information where available
- Expected arrival time
- Passenger name
- Passenger contact number
- Destination
- Pickup instructions
Aircraft schedule changes should be reported as soon as they become known.
Access to ramps, aircraft-side pickup areas, private terminals, and restricted locations depends on airport rules, FBO requirements, security restrictions, and authorization.
Aircraft-side pickup is not guaranteed unless it has been specifically arranged and permitted.
10. Hourly Chauffeur Service and Overtime
Hourly chauffeur service is reserved for a confirmed period.
Passengers may use the vehicle for stops and destinations that fit within the accepted itinerary, service area, booking terms, and reserved time.
A reservation that continues beyond its scheduled end time may incur additional charges.
Extra time is subject to vehicle and chauffeur availability. A customer should not assume that the assigned chauffeur can remain beyond the confirmed end time.
Passenger delays, added stops, meeting overruns, route changes, or late departures may increase the service duration.
11. Vehicle Availability and Substitution
Vehicle availability can change because of mechanical problems, accidents, maintenance, safety issues, previous-trip delays, or other operating conditions.
If a confirmed vehicle becomes unavailable, we may offer a suitable substitute.
We will attempt to provide a vehicle that can safely accommodate the confirmed passenger and luggage requirements.
Fleet photographs may represent a vehicle type, class, make, or model. Unless specifically confirmed in writing, photographs do not guarantee an exact model year, trim, exterior color, interior configuration, or individual vehicle.
12. Passenger and Luggage Requirements
Customers must provide an accurate passenger count.
Passengers cannot exceed the legal or rated seating capacity of the assigned vehicle.
Seating capacity and luggage capacity are not the same. Airport travelers and groups should disclose large suitcases, oversized bags, mobility equipment, sports equipment, or other large items before booking.
We may recommend another vehicle when the requested vehicle cannot safely carry the passengers and their luggage.
Items cannot be placed where they obstruct the chauffeur, block exits, interfere with safety equipment, or violate applicable law.
13. Passenger Conduct
Passengers must behave in a manner that allows the chauffeur to operate the vehicle safely.
Transportation may be refused or terminated for conduct involving:
- Threats or violence
- Harassment
- Illegal activity
- Illegal drug use
- Intentional vehicle damage
- Interference with the chauffeur
- Unsafe behavior
- Refusal to follow lawful safety instructions
The customer who made the reservation may be held responsible for passenger conduct associated with the booking.
A trip terminated because of passenger misconduct may not qualify for a refund.
14. Drugs, Alcohol, Smoking and Vaping
Passengers must follow applicable laws concerning alcohol, drugs, smoking, and vaping.
Illegal drug possession or use is prohibited in our vehicles.
Smoking or vaping may also be prohibited under Company rules, vehicle requirements, or applicable law.
A chauffeur may refuse or stop transportation when intoxication, illegal substance use, smoking, vaping, or related conduct creates a safety issue or violates applicable rules.
More information is available in our Drug & Alcohol Policy.
15. Cleaning and Vehicle Damage
Customers may be responsible for cleaning or damage caused by passengers beyond normal vehicle use.
Charges may apply for:
- Vomiting
- Food or drink spills
- Smoke or vapor odors
- Burns
- Stains
- Broken equipment
- Damaged upholstery
- Excessive trash
- Other passenger-caused damage
Charges may reflect cleaning costs, repair costs, replacement costs, or vehicle downtime where permitted under the reservation terms.
16. Lost or Forgotten Property
Passengers are responsible for personal belongings brought into a vehicle.
This includes luggage, phones, laptops, wallets, business documents, keys, chargers, medication, and other property.
Contact us if you believe an item was left in a vehicle. Provide your reservation information and a description of the item.
If property is found, arrangements may be made for pickup, shipping, courier service, or return transportation. Costs associated with returning an item may be charged to the owner.
We do not guarantee that lost or forgotten property will be found.
17. Confidentiality and NDA Requests
Passengers may conduct calls, discuss business, carry documents, or travel to private locations during chauffeur service.
Our handling of passenger identities, itineraries, destinations, conversations, and related trip information is described in our Confidentiality & NDA Statement.
Clients who require a written Non-Disclosure Agreement should submit the request before transportation.
Sending an NDA does not make it binding. An agreement must be reviewed and accepted by a person authorized to sign on behalf of Dallas Chauffeur Service.
Chauffeurs are not automatically authorized to sign contracts or NDAs on behalf of the Company.
18. Delays and Events Outside Our Control
Travel times and arrival estimates can be affected by circumstances outside our reasonable control.
These may include:
- Traffic
- Accidents
- Severe weather
- Road closures
- Airport restrictions
- FBO restrictions
- Government actions
- Natural disasters
- Civil emergencies
- Major public events
- Mechanical problems
Routes, pickup arrangements, vehicles, or schedules may need to change because of operating conditions or safety requirements.
19. Limitation of Liability
To the fullest extent permitted by applicable law, Dallas Chauffeur Service will not be liable for indirect, incidental, special, or consequential losses arising from a transportation reservation.
This may include losses connected with missed flights, meetings, appointments, events, connections, or business activities when caused by circumstances outside our reasonable control.
Where permitted by law, our total liability arising from a specific reservation will not exceed the amount paid for that reservation.
Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited.
20. Insurance and Licensing
Transportation services are operated subject to the licensing, insurance, safety, and operating requirements that apply to the service, vehicle, chauffeur, and jurisdiction involved.
Statements concerning specific insurance coverage, certificates, licenses, or permits are subject to the records applicable to the transportation being provided.
