Confidentiality & NDA Statement
Dallas Chauffeur Service provides private chauffeured transportation for executives, corporate travelers, private aviation passengers, legal and financial professionals, public figures, private clients, and event guests across Dallas, Fort Worth, and the DFW Metroplex.
A chauffeur may become aware of passenger names, destinations, schedules, meeting locations, flight details, FBO information, or conversations simply by completing a reservation. We treat trip information as private business information and restrict its use to purposes connected with transportation, dispatch, billing, safety, customer service, and legal requirements.
Clients who require written confidentiality terms may request a Non-Disclosure Agreement (NDA) before service.
1. Passenger and Trip Confidentiality
Reservation information is used to arrange and complete transportation.
Trip information may include:
- Passenger names
- Phone numbers
- Email addresses
- Pickup and drop-off locations
- Hotels and residences
- Offices and meeting locations
- Flight information
- FBO and private aviation information
- Travel schedules
- Vehicle requests
- Corporate account information
- Passenger instructions
- Reservation communications
Access to trip information is limited based on the work required to process, dispatch, complete, bill, or support the reservation.
2. Executive and Corporate Transportation
Executive travel can involve information that a client does not want publicly disclosed.
Chauffeurs and personnel are expected to treat passenger identities, routes, schedules, meeting locations, hotels, offices, and trip instructions with discretion.
Personnel are not authorized to disclose a client’s transportation details for personal publicity, gossip, social media content, or unrelated business purposes.
Corporate clients with specific information-handling requirements should provide those requirements before the reservation.
3. Private Aviation and FBO Transportation
Private aviation reservations may include information concerning:
- Passenger identities
- Aircraft arrival or departure details
- Tail or aircraft information when supplied
- FBO locations
- Private terminal information
- Aircraft schedules
- Pickup instructions
- Ground transportation destinations
This information may be provided to reservation personnel, dispatch, and the assigned chauffeur when needed for the trip.
We do not authorize personnel to publish a client’s private aviation itinerary or passenger information merely because they participated in the transportation assignment.
Airport, FBO, security, or legal requirements may require certain information to be provided to authorized third parties.
4. Conversations Inside the Vehicle
Passengers may conduct calls, discuss business, hold conversations, or work during transportation.
A chauffeur may hear information during a trip because the chauffeur is present in the vehicle.
Our personnel are expected not to repeat, record, photograph, publish, or disclose private passenger conversations learned during an assignment for unrelated purposes.
Passengers remain responsible for deciding what trade secrets, passwords, financial information, privileged communications, confidential documents, or other sensitive information they discuss or display inside a vehicle.
5. Business Documents and Electronic Devices
Passengers may carry laptops, phones, tablets, legal files, contracts, presentations, prototypes, financial documents, or other business property.
Passengers remain responsible for securing these items during and after the trip.
Dallas Chauffeur Service does not take custody of a document or device simply because it is transported inside one of our vehicles.
Do not leave sensitive documents, passwords, access credentials, payment information, or unlocked electronic devices unattended in a vehicle.
Property left behind is handled under the lost-property provisions of our Terms & Conditions.
6. Passenger Identity
A passenger’s use of Dallas Chauffeur Service does not give chauffeurs or staff permission to publicly disclose that person’s identity.
This applies to:
- Executives
- Corporate guests
- Public figures
- Entertainers
- Athletes
- Legal professionals
- Financial professionals
- Private aviation passengers
- Private families
- Other passengers
Passenger identity may still be shared where needed to complete the reservation, process payment, administer an authorized corporate account, meet insurance requirements, respond to a legal request, or address a safety matter.
7. Pickup and Destination Privacy
Pickup addresses and destinations can reveal personal or business information about a passenger.
Personnel are expected to use route and location information for the transportation assignment and related operating needs.
Private residences, offices, hotels, medical facilities, meeting locations, event venues, FBOs, and other destinations should not be publicly disclosed by personnel merely because a passenger traveled there.
Trip records may still be retained under our recordkeeping practices.
8. Photos, Videos and Social Media
Chauffeurs and staff are not authorized to photograph, film, livestream, or post identifiable passengers on personal social media accounts simply because they are providing transportation.
Passenger names, travel schedules, destinations, vehicles, hotel locations, meeting locations, or private aviation details should not be published without the required permission.
Any business use of an identifiable passenger photograph, video, testimonial, or trip detail requires the permission or other rights needed for that use.
9. Corporate Accounts and Authorized Contacts
Corporate transportation may be arranged by an employer, executive assistant, office manager, travel coordinator, security contact, event organizer, or another authorized person.
Reservation information may be shared with an authorized account contact when needed for:
- Booking
- Scheduling
- Passenger coordination
- Billing
- Trip records
- Account administration
A passenger who requires restrictions beyond the normal corporate account arrangement should raise those requirements before service.
10. Confidentiality for Legal and Financial Travel
Legal, financial, investment, board, and business transportation may involve confidential destinations or discussions.
Our personnel are expected to avoid disclosing information learned solely through a transportation assignment.
This statement does not create attorney-client privilege, work-product protection, financial confidentiality status, or another legal privilege that would not otherwise exist.
Clients requiring contractual confidentiality should request an NDA.
11. Non-Disclosure Agreement Requests
Clients may request a written NDA for transportation involving sensitive information.
NDA requests may relate to:
- Executive transportation
- Board meetings
- Corporate roadshows
- Legal matters
- Financial transactions
- Investor meetings
- Private aviation
- VIP transportation
- Media or production work
- Unreleased products or projects
- Private events
An NDA is not automatically included with every reservation.
Requests should be submitted before the transportation date so the document can be reviewed before service.
12. Client-Provided NDAs
A client may submit its own NDA for review.
Sending, emailing, uploading, or handing us an NDA does not mean the agreement has been accepted.
A client-provided NDA becomes binding only after it has been reviewed and accepted by a person authorized to enter the agreement on behalf of Dallas Chauffeur Service.
Transportation may remain subject to separate reservation and payment terms even when an NDA is accepted.
13. Chauffeur NDA Requests
Some clients may require the assigned chauffeur to sign an individual confidentiality agreement.
This request must be made before the trip.
Dallas Chauffeur Service will determine whether the requested document can be reviewed and whether the assigned chauffeur can sign it.
A chauffeur is not automatically authorized to sign a contract on behalf of Dallas Chauffeur Service.
Presenting an NDA to a chauffeur at pickup does not require the chauffeur or Company to accept it.
14. Confidentiality Instructions for a Reservation
Clients who need special handling should provide instructions before service.
Requests may concern:
- Restricted use of passenger names
- Limited itinerary distribution
- Private pickup instructions
- Designated booking contacts
- Communication restrictions
- Anonymous passenger identification
- Confidential meeting locations
- Private aviation information
Accepted instructions should be included with the reservation so the personnel handling the trip receive the correct information.
Do not place passwords, full payment card numbers, account credentials, or unrelated confidential records in standard booking notes.
15. Information Shared With Service Providers
Some reservation information may be processed by companies that support our transportation operations.
These may include providers for:
- Booking systems
- Dispatch
- Payment processing
- SMS communications
- Website hosting
- IT services
- Mapping
- Other reservation functions
Information is shared based on the service being performed.
If a proposed NDA restricts third-party access or processing, those requirements must be reviewed before the NDA is accepted.

16. Legal, Regulatory and Safety Disclosures
Confidentiality does not prevent Dallas Chauffeur Service from disclosing information when required by applicable law, subpoena, court order, regulatory requirement, or another lawful process.
Information may also be disclosed where reasonably necessary to address fraud, a dispute, an insurance matter, or an immediate threat to the safety of a passenger, chauffeur, employee, or member of the public.
An NDA cannot require Dallas Chauffeur Service or its personnel to conceal illegal activity or ignore a legal reporting requirement.
17. Reservation and Business Records
Trip information may be retained for reservation management, payment, accounting, tax, insurance, fraud prevention, dispute, safety, and legal purposes.
A confidentiality request does not automatically require deletion of records that we are permitted or required to retain.
Retention of personal information is addressed in our Privacy Policy.
18. Limits of This Statement
This page describes the general confidentiality practices of Dallas Chauffeur Service.
It does not create an NDA for every Site visitor, customer, passenger, or corporate account.
A separate written NDA signed by authorized parties may contain different or more specific confidentiality terms. The signed agreement controls the matters covered by that agreement.
Nothing in this statement prevents disclosures required by law or creates a legal privilege that does not otherwise exist.
